Graduate, Terminate, or Transfer On the Job Training Trainees

Overview

Manage trainee status by graduating, reporting terminations or resignations, and transferring trainees according to OJT program guidelines.

Steps

Graduate Trainee

You can graduate a Trainee from your goal record, per the OJT program guidelines.

To graduate a trainee

1. From the View menu, click My OJT.

2. Click the Trainee List tab.

3. For the trainee you want to graduate, click View.

4. Click Graduate Trainee.

5. In the Graduate Date field, enter the graduation date.

Enter graduation date, request reimbursement, add comments, and submit to complete trainee graduation.

6. To request reimbursement, as allowed by the program guidelines, select Request Reimbursement.

NOTE: Selecting Request Reimbursement will require you to identify the contract for the reimbursement request.

7. In the Additional Comments field, enter additional graduation information, if any.

8. Click Submit.

This action requires approval from staff at the organization.

Trainee Termination or Resignation

If you have terminated a trainee, or the trainee has resigned, you must report this on the Trainee record.

To terminate or resign a trainee

1. From the View menu, click My OJT.

2. Click the Trainee List tab.

3. For the trainee you want to show as resigned or terminated, click View.

4. Click Terminate/Resign Trainee.

View trainee status and progress, and choose to graduate, terminate, or transfer the trainee.

 

5. In the Termination Date field, enter the date of termination.

Enter termination details, select contract, add comments, and submit to complete trainee termination.

6. To request reimbursement, as allowed by the program guidelines, select Request Reimbursement.

NOTE: Selecting Request Reimbursement will require you to identify the contract for the
reimbursement request.

7. To request a credit for Good Faith Effort, as allowed by the program guidelines, select Request GFE.

8. In the Additional Comments field, enter additional information, as needed.

9. Click Submit.

If there are hours reported for this trainee, or if reimbursement/GFE is requested, this action requires approval from staff at the organization.

Transferring trainees to different goals

You can add or transfer trainees to different goals; however, all associated hours and documentation will no longer count towards the original goal.

To transfer a trainee to another goal

1. From the View menu, click My OJT.

2. Click the Trainee List tab.

3. For the trainee you want to transfer to another goal, click View.

4. Click Transfer to Different Goal.

Select a new goal to transfer the trainee and review current status and training progress.

5. From the Transfer To list, select the new goal.
