Objective
You can report on approved trainee hours by adding them to monthly reports. The reporting periods you can set are based on the trainee’s start date. This is necessary if you need to report for months that have already passed. For trainees added prior to the first reporting period, reports automatically generate for each reporting period.
Process
Adding Monthly Reports for Trainees
1. From the View menu, click My OJT.
2. Click the View link for the goal assignment for which you want to add a trainee to a monthly report.
3. Click View to access the trainee record.
4. Click Add Monthly Reports.

5. From the Report Period list, select the reporting period, and then click Create Monthly Report.
6. Continue adding monthly reports, as needed, for the selected trainee.
Completing Monthly Reports
NOTE: Updates to a trainee’s Hourly Wage Rate field will automatically update the rate in the trainee’s record.
To complete monthly reports
1. From the View menu, click My OJT.
2. Click the View link for the goal assignment for which you want to complete a monthly report.
3. Click the Monthly Report List tab.
NOTE: If there are pending Monthly Reports, a red exclamation mark displays on the Monthly Report List tab.
4. Find the reporting period for which you want to complete a report, and then click Add Report.
5. In the Training Information boxes, use the fields and lists to specify information about the trainee.
6. To add a line item to the training information, click Add Line Item.
7. To delete an item from the training information, click Delete.
8. Continue updating the report, as needed, and then click the Submit Report button.
This action requires approval from staff at the organization.
As payment reports are approved, the progress bar at the top of the page for the Trainee and the Goal records will show the progress to completion.
