Overview
Contractors have the option to use payroll applications to assist them in managing their certified payroll reporting. eComply offers the ability to assist the contractor in using an exported file from these payroll applications and importing it into the eComply system.
Before You Begin
- The contractor profile must already exist.
- Crafts/Classes must already be added to eComply. See Adding Crafts and Classifications.
- The employees must already be added to eComply. See Adding and Managing Employees.
- You must have access to the correct payroll data from your payroll system.
- PDFs are not acceptable for CPR uploads. Some acceptable formats include: CSV, XLSX, XML, etc.
Steps
Configuring Payroll Upload Settings
Before you can upload payroll data into eComply, you must first configure the Payroll Upload Settings and export data from your payroll system. See Configure Payroll Upload Settings and Prepare Payroll Data for Upload.
Importing Payroll
Once your account has been configured to utilize payroll, you can start importing your payrolls by following these steps:
- Sign in to eComply.
- Navigate to Activities in the left navigation pane.
- Select Manage CPRs.
- Choose the appropriate Project Name and select your company name under that project.
- Select New CPR/NP
- Enter the Week-Ending Date and Payroll Number.
Note: Double-check that the Week Ending Date and Payroll Number on this screen match what is listed in the file you will upload.
7. Under Upload CPR Data, select Choose File and add your saved file.
-
The system will read the file and provide friendly messages instructing you what the next step will be. With this being the first time you are using the payroll import function, you will receive a message similar to the one shown below.
Note: This message is just to let you know you need to map the classifications from your import file to the classifications used in your account for eComply.
Mapping Crafts and Classes for Payroll Import
If classification mapping is required during the upload, you will see an error message regarding craft/class mapping. All that needs to be done is identify which classifications within the system match the classifications used in your import file.
-
You can either select (MAP) in the error message, or navigate to Setup in the left navigation pane and select Payroll Upload Settings.
Note: If you are prompted to navigate from the current screen, select Ok or Leave Page.
- Select the Craft/Class Mapping tab.
You will see the crafts, classifications and trade that were imported from your import file. Here you can also see if they have already been mapped to a classification within eComply.
- To map a craft/class and trade, select the pencil icon to the right of the craft/class and trade you wish to map.
-
Select the System Craft/Class from the drop-down control to match the classification used in your import file.
Note: Only crafts/classes that were previously selected and added under Setup > Craft and Classification will appear as a selection. If you need to add additional crafts and classes to choose from, please navigate to Setup > Crafts and Classifications to add them. For more information, see Adding Crafts and Classifications.
-
Select the Trade from the drop-down box to match the trade used in your import file. Select Journeyman or Apprentice depending on the status of the employee.
- Select Submit.
- Repeat these steps for all crafts and classifications that need to be mapped.
- Now that your classifications have been mapped in the system you can now go back to Activities > Manage CPRs and import the payroll again as described above.
Other Deduction Mapping
Some payroll applications allow the ability to specify the types of deductions your company has for your employees. eComply also allows the option to map those deductions, as well. The agency you are performing work for will specify the deductions they expect to see within the CPRs submitted. You will see a message indicating that the deduction type in the import files needs to be mapped to the deductions specified by the agency.
- From the Setup tab, select Payroll Upload Settings.
- Select the Other Deduction Mapping tab.
From this tab, you can map any deductions that the agency has already approved and added that also appear in your upload file.
Note: If you do not see a specific deduction that applies to your employees, you will want to contact the agency the project is under to request having the deduction added.
- Select the deduction that you need to map from your import file into the eComply system.
- In the field labeled Mapped Name, enter the deduction as it is seen in your import file.
Note: The Mapped Name field is case sensitive and needs to be identical to how it appears in your import file. - Once you have entered in the Deduction to be mapped and the Mapped Name, select Add Mapping.
-
Now that your deductions have been mapped in the system you can now go back to Activities > Manage CPRs and import the payroll again as described above.
Resolving Errors and Validating Data
- If there are errors, you will see a red warning message with a list of identified errors. If there are warnings, you will see a yellow warning box with a list of identified issues.
- Once resolved, attempt to upload the file again.
- If the information is complete, the status displays “Ready" and you can continue to submit your CPR. It is recommended that you review the CPR before you submit it.
- If an employee shows “Not Ready,” a required field is missing.
-
Select the pencil icon to review and edit or review the fields in the CPR before submitting it.

Troubleshooting / Common Issues
| Issue | What it means | What to do / check |
|---|---|---|
| Classification Mapping message appears during upload | The classification in your file does not yet match a system-defined craft. This usually occurs when the contractor has more than one job and the craft or class names differ because of a different wage determination. For example: Project 1 – Laborer; Project 2 – Laborer and Related Classifications. |
|
| Payroll upload does not populate employee data | The CPR loads, but employee data does not appear because the payroll identifiers may not match. | Confirm that the Week Ending Date and Payroll Number in the CPR exactly match the values in your Excel file. |
| Employee record is not recognized | The system may be unable to match the employee record during import. |
|
| Validation errors related to demographic fields | The demographic information in your file may not match the system-defined options. | Ensure Gender, Ethnicity, DOB, and Marital Status in your payroll system match the available selections configured in eComply. You can bypass this step if needed. |
| File does not upload | The file may not come directly from the accounting profile or payroll program you selected, or the file may be in an incorrect format. PDFs are not accepted. | Confirm that the file is exported from the selected accounting or payroll program and is in an accepted format, such as CSV, XLSX, or XML. |
| No Fringe Benefits Package error | The employee is not associated with a Fringe Benefits package, or the Fringe Benefits package has expired. |
