eComply Payroll Import Mapping

Objective

Contractors have the option to use payroll applications to assist them in managing their certified payroll reporting. eComply 2.0 offers the ability to work with those application vendors to assist the contractor in using an exported file from the payroll applications and import it into the eComply 2.0 system.

Process

Importing Payroll

Once your account has been configured to utilize payroll, you can start importing your payrolls by following these steps:

  1. Log into eComply 2.0
  2. Navigate to Activities > Manage CPRs

  1. On the right-hand side of the screen, find the project you will be submitting a CPR for and click on your company name under that project.
  2. If this is your first CPR, you will not see any CPRs listed. If you have previously submitted CPRs, you will see them on the right-hand side of the screen. To import your CPR file, click on “New CPR.”

  1. The first screen/tab in the CPR Creation Wizard will display the agency you will be submitting the CPR to and the project name. Click “Next” to go to the next screen/tab.
  2. The second screen/tab will allow you to select the week ending date for the CPR. If you have submitted a CPR previously, the date will auto populate as the next week ending date in sequential order.
  3. To import the payroll file from your payroll application, click on “Browse.”

  1. Once you navigate to the import file you wish to load, highlight the file, double click or click on “Open” to have the eComply 2.0 system to process the file.
  2. The system will read the file and provide friendly messages instructing you what the next step will be. With this being the first time you are using the payroll import function, you will receive a message similar to the one shown below.
  3. You have the ability to click on “(MAP)” or click on “Setup” and navigate to the “Payroll Upload Settings” link.

Note: This message is just to let you know you need to map the classifications from your import file to the classifications used in your account for eComply 2.0.

Mapping Crafts and Classes for Payroll Import

Now that you have loaded the first payroll file, the eComply 2.0 system has the classifications from your import file stored within the system. All that needs to be done is identify what classifications within the system are the classifications used in your import file.

  1. From the “CPR Creation Wizard” second screen/tab, you can either click on “(MAP)” in the mapping message you received or click on “Setup” and navigate to the “Payroll Upload Settings” link.
    Note: If you are prompted to navigate from the current screen, click “Ok” or “Leave Page.”

  1. Do not do anything to the first tab, “Basic Settings”. This shows the interface profile you are currently assigned to. The second tab, “Craft/Class Mapping”, is the tab you will want to click on.

  1. On the second tab, you will see the crafts, classifications and trade that were imported from your import file. Here you can also see if they have already been mapped to a classification within 2.0.

  1. To map a craft/class and trade, click on the pencil icon to the right of the craft/class and trade you wish to map.
  2. On this screen you will be able to select the craft/class and trade to match the classification used in your import file. Click on the drop down “System Craft/Class” to select the classification.

Note: Only crafts/classes that were previously selected and added under “Setup > Craft and Classification” will appear as a selection. If you need to add additional crafts and classes to choose from, please navigate to “Setup > Crafts and Classifications” to add them or for further assistance, please check the user manual for instructions on how to add the crafts and classifications.

  1. Do the same for the trade. Select “Journeyman” or “Apprentice” depending on the status of the employee.

  1. Once you have completed this, click “Submit” to be brought back to the main “Payroll Upload Settings” screen. Repeat these steps for all crafts and classifications needing to be mapped.

  1. Now that your classifications have been mapped in the system you can now go back to “Activities > Manage CPRs” and import the payroll again as described above in above.

Other Deduction Mapping

Some payroll applications allow the ability to specify the types of deductions your company has for your employees. eComply 2.0 also allows the option to map those deductions, as well. The agency you are performing work for will specify the deductions they expect to see within the CPRs submitted. An example of a message you will get when you need to map your deductions is seen below.

Note: This message is letting you know that the deduction type in the import file needs to be mapped to the deductions specified by the agency.

  1. From the “Setup” tab, navigate to the “Payroll Upload Settings” link.

  1. The third tab on this screen is “Other Deduction Mapping.” From this tab, you can map any deductions that the agency has already approved and added that also appear in your upload file.
    Note: If you do not see a specific deduction that applies to your employees, you will want to contact the agency the project is under to request having the deduction added.
  2. Using the drop-down menu, select the deduction that you need to map from your import file into the eComply 2.0 system.

  1. In the field labeled “Mapped Name,” you will want to enter the deduction as it is seen in your import file.
    Note: The “Mapped Name” needs to be identical to how it is seen in your import file. This does mean it IS case sensitive.

  1. Once you have entered in the Deduction to be mapped and the “Mapped Name,” click on “Add Mapping.” This will bring the mapped deduction down to the lower section of the screen identifying it has been added into the eComply 2.0 system.

  1. Now that your deductions have been mapped in the system you can now go back to “Activities > Manage CPRs” and import the payroll again as described above in above.
