Overview
This article explains how to configure Payroll Upload Settings in eComply and prepare payroll files for upload into a Certified Payroll Report (CPR). This process allows users to import employee payroll information using a structured file instead of entering data manually.
Steps
Configuring Payroll Upload Settings
Before uploading payroll data, you must first configure your organization’s payroll upload format.
- Navigate to Settings.
- Scroll to Payroll Upload Settings.
- From the Basic Settings tab, locate the Accounting Profile field. It will likely show as Unassigned if this is your first time setting up a template.
- Select the dropdown menu to review the supported payroll systems.

Select the payroll system you use.
If your payroll system is not listed, you have the following options:
- Check to see if your payroll software can export the data into one of the supported payroll software formats.
- Select LCM CSV, which is a template where you can populate your data and upload it to the system.
- Choose to manually enter your data when creating a CPR. Once you have created a CPR, you can copy it to a new one and change the wage and hours being reported for the next reporting period.
- Select Submit to save your selection.
Preparing the Payroll File
After configuring the Payroll Upload Settings, you will need to review the file you plan to upload into the system.
Using a payroll system export file
- Export your file in the applicable format from your payroll system.
- Verify the following fields:
- Payroll Number & Week Ending Date: These must be precise to avoid system errors.
- Employee Identity: Ensure the first name, last name, and SSN are correct so the system can match the record to the specific employee.
- Trade: The craft category for the employee.
- Classification: Worker level, such as Apprentice or Journeyman.
- Rate: The hourly rate for the employee.
- Hours: The hours worked by the employee.
- Save the completed file to your computer.
Using the LCM CSV Template
- From the left Navigation pane, select Settings > Payroll Upload Settings.

On the Basic Settings tab, locate Template, and download the LCM CSV file.
Note: On first use, select Submit to reveal the template and then select the linked .csv file to download it.
- Complete all required fields for each employee. See the Required Fields table below.
- Complete any additional fields that apply to the employee’s payroll. Some information needed to submit a CPR may not be noted as required because the required value depends on the payroll data. For example, you must report hours worked, but the type of hours—such as regular time or overtime—may vary. See the Additional Fields table below.
- Save the completed file using a name that identifies the project and week-ending date.
Required fields

| ethnicity | Ethnicity code. 1 = Caucasian; 2 = African American; 3 = Hispanic; 4 = Native American or Alaskan; 5 = Asian or Pacific Islander; 6 = Other; 7 = Asian Indian. Must use the applicable code. |
| address | Employee's address. |
| city | Employee's city. |
| state | Employee's state. Must use the state abbreviation. |
| zip | ZIP or postal code. Accepted examples: 12345, 12345-1234, L6J 5E4, or L6J5E4. If the first digit is 0, enter an apostrophe before the ZIP code. For example, '01234. |
| country | Employee's country. |
| fica | FICA amount, including Social Security and Medicare combined. |
| fedWH | Federal income tax withheld. |
| stWH | State income tax withheld. |
| grossPayAllProjects | Employee's gross pay for all projects. |
| netPay | Employee's net pay. |
| classification | Employee's classification. Can be mapped to a matching classification in the system. |
| trade | Employee's trade. Journeymen or Apprentice. |
| grossPayThisProject | Employee's gross pay for this project. |
| rtRate | Regular Time hourly rate. This field is required but can be 0 when there are no Regular Time hours. |
| SDI | State Disability Insurance. If not applicable, enter 0. |
| Etax | KCMO earnings tax. Required for KCMO only. If the project is not KCMO, enter 0. |

Note:
- Numbers must be in numeric format. It should exclude dollar ($) and comma (,) symbols.
- If possible, total tax and other deductions should be broken down to FICA, Fed Withholding, State Withholding.
Uploading the CPR Data
