Submitting Certified Hourly Reports (CHRs)

Objective

Use the Certified Hourly Reports (CHR) feature to submit weekly employee work hours to the agency. This report captures the hours worked by each employee for a specific week and sends the information for review.

You will create a report, enter employee hours, verify the summary, electronically sign the report, and submit it through the system. 


Before You Begin

Before submitting a CHR, ensure:

  • Your Company is listed in the project tree

  • You know the week-ending date for the report

  • Employees who worked during the week are available to select

  • You have the authority to sign and submit CHRs

Process

Access the CHR Management Screen

  1. Open the Activities menu from the left navigation panel.

  2. Navigate to the Certified Reports section and select Manage CHR’s.

  1. On the CHR Management screen, select your business name in blue from the project tree on the left. Previously submitted reports will appear on the right side of the screen.

Create a New Certified Hourly Report

  1. Click the blue New CHR/NP button.

  1. Enter the first week-ending date and payroll number. Future CHRs will automatically populate with the next week-ending date and report number.

  2. Click Next. This creates a draft CHR, you can make any changes to the CHR until it is submitted.

Add Employees to the Report

  1. Select the Employees tab.

  2. Click Add Employees and check the box next to each employee. 

  3. Click Add Employees.

The employees selected will be listed in red font. This allows you to identify the employees whose hours information is not complete as you update each

Enter Employee Hours

  1. To update the hour information click on the pencil icon to the right of the employee.

  1. Enter the employee’s hours worked for the week and click Save

  1. After saving, the employee name changes from red to green, indicating the hours are complete. Repeat this process for each employee.

  1. Once all employees appear in green, click Next to proceed and submit the CHR. To save and complete later, click Save as Draft

Review the CHR Summary

  1. From CHR Summary tab you can verify the information.

  2. (Optional) Click CHR Preview in the top-right corner to view how the report will appear when submitted. This is how your report will appear to the agency.

  1. Click Next after verifying the information.

Sign and Submit the CHR

  1. Finally review the CHR Statement of Compliance on the Complete tab.

  2. Click Sign and enter your name as it appears for your electronic signature into the Sign Agreement pop up box.

  3. Click Sign again to apply the signature.

  4. Once your signature is on the CHR, you can click Submit.

  1. The system returns you to the CHR Management screen where the submitted report appears in the CHR log.

Note: CHR’s are auto accepted by the eComply system and will be reviewed further by the agency. If modifications need to be made, the agency can reject the CHR for you to modify & resubmit. 

Field Definitions

Week-Ending DateThe final date of the reporting week for employee hours.
Payroll NumberThe sequential number assigned to each CHR submission.

Hours WorkedTotal hours worked by an employee during the reporting period.
CHR PreviewDisplays a preview of how the report will appear once submitted.
SignAdds your electronic signature to the Statement of Compliance.
SubmitSends the completed CHR to the agency for review.

Summary

Certified Hourly Reports allow you to record and submit weekly employee hours through the system. By creating a new CHR, selecting employees, entering their hours, reviewing the summary, and electronically signing the report, you can submit accurate work records for agency review.
