Overview
This article explains how to approve and manage Daily Sign-In Logs (DSLs) in FieldReporter. Site managers use these tools to review employee sign-in activity, approve daily records, correct entries, add employees, and resolve compliance issues before certified payroll submission.
Managing DSL records accurately is important because approved logs are used during certified payroll validation and compliance reporting. Incomplete or incorrect logs may prevent certified payroll from being submitted or approved.
Before You Begin
Before managing FieldReporter logs:
- You must have the Contractor Site Manager role.
- FieldReporter must already be enabled for your organization.
- Employees must have recorded sign-in activity for the selected project.
- You must be logged into the correct project in FieldReporter.
- Kiosk Mode must be unlocked before accessing management functions.
Some actions require photo verification and a reason for the change.
Who This Applies To
This article applies to users with the following roles:
- Contractor Site Managers
- Contractor Supervisors
- Contractor Payroll or Compliance Staff
If your organization’s configuration differs, contact your system administrator.
Steps
Approving Daily Logs
Daily logs must be approved before the system uses them for certified payroll compliance checks.
- Log in to FieldReporter select the project.
- Select Approve Logs and select the work date or dates.
- Review the employee records and enter approval remarks if required.
- Select Take Photo to capture the approval verification photo.
- Select Approve. The selected logs are now marked as approved.
If an employee is not already in the system, you can create a temporary employee record directly in FieldReporter. See Adding Employees in FieldReporter.
After approving logs:
- DSL records become available for certified payroll validation.
- Payroll submissions can proceed if no compliance issues exist.
- Approved records become visible in compliance reporting.
Deleting a Log Entry
If an employee signed in by mistake or a log should no longer be used, you can delete the entry.
- Select Delete Entry and select the work date.
- Select the employee record and enter the reason for deletion.
- Select Take Photo to capture the verification photo.
- Select Delete. Deleted entries remain available in audit history for compliance review.
After correcting or deleting logs:
- Updated records are included in future compliance checks.
- Agencies can review the audit history for the changes.
- Corrected payroll submissions can be resubmitted for review.
Correcting an Entry
If a certified payroll submission is rejected because of DSL discrepancies, you can correct and resubmit the employee entry.
- Select Resubmit Entry and open the affected employee record.
- Update the incorrect information and the reason for the correction.
- Select Take Photo to capture the verification photo.
- Select Submit. Corrected records are used during the next certified payroll validation process.
How Log Corrections Work
FieldReporter tracks all changes made to DSL records.
When logs are updated:
- The original record is retained for audit purposes.
- Deleted records are soft deleted and remain in system history.
- Verification photos are stored with the update activity.
- Agencies can review corrected or deleted records during compliance audits.
