Understanding Sign-In Photo Verification

Overview

FieldReporter requires a photo during employee sign-in and sign-out activities. Photo verification supports workforce tracking, audit verification, and labor compliance monitoring by creating a record that can be reviewed during payroll validation, compliance investigations, and agency audits.

  • The device must have a working camera.
  • Camera permissions must be enabled in your browser or device settings.
  • FieldReporter must be enabled for the project.

Process

Why Photos Are Collected

FieldReporter requires photos during sign-in and sign-out to help verify employee activity and support labor compliance requirements. Photos create a record that can be reviewed during payroll validation, compliance investigations, and agency audits.

Photos help:

  • Verify employee identity during sign-in and sign-out.
  • Support certified payroll and labor compliance requirements.
  • Create an audit trail for compliance reviews and investigations.
  • Reduce the risk of inaccurate, duplicate, or unauthorized sign-in activity.
  • Help validate employee work activity reported on a project.

How Photos Are Used

Authorized users may review photos as part of payroll validation, compliance monitoring, and audit activities. Photos provide supporting documentation that helps agencies and contractors verify employee activity and investigate potential discrepancies.

Photos may be reviewed when:

  • Approving Daily Sign-In Logs (DSLs).
  • Investigating compliance discrepancies.
  • Reviewing certified payroll validation issues.
  • Conducting agency compliance audits.
  • Verifying corrected or deleted sign-in records.
  • Confirming employee identity during compliance reviews.

Photos remain associated with the corresponding sign-in or sign-out record and are retained as part of the project's compliance documentation.

Privacy Considerations

Photos collected through FieldReporter are used solely for workforce tracking, compliance monitoring, and audit purposes. Access to photos is restricted to authorized users and is governed by an organization's labor compliance and record retention requirements.

Important privacy considerations include:

  • Photos are only accessible to authorized users.
  • Photos are stored with the corresponding Daily Sign-In Log (DSL) record.
  • Photos may be reviewed during compliance investigations or payroll audits.
  • Photos are not used for employee performance monitoring.
  • Photos help maintain an accurate and verifiable labor compliance record.

Tips

  • Employees should ensure their face is clearly visible before taking a photo.
  • Remove anything that may block your face, such as sunglasses or hats, if permitted by site safety requirements.
  • Camera access must be enabled on the device or browser being used.
  • Employees should review their photo before confirming the entry.
  • Contact the Site Manager if the device's camera is not accessible.
