Reporting Revenue and Expenditures on a Concession Audit

Overview

Revenue and expenditure reporting helps the airport monitor concession activity for a specific reporting period. It may also help track participation toward concession goals, when goals apply.

Use this article when you need to enter revenue or expenditure information on a standard concession audit report.

A concession audit report may ask you to report:

  • Revenue earned by a location or subtenant
  • Expenditures paid to a supplier
  • Certified revenue or certified expenditures, when applicable
  • No activity for the reporting period

The information requested depends on the concession record, your vendor role, and the airport’s reporting requirements.

Before You Begin

Gather the following information before you begin:

  • Revenue earned during the reporting period
  • Expenditures paid during the reporting period
  • Supplier or subtenant details, if applicable
  • Any supporting information requested by the airport
  • The audit notice or reporting period details

Before entering amounts, confirm that:

  • You opened the correct concession record.
  • The Audit Time Period matches the period you are reporting.
  • The listed locations, subtenants, or suppliers are correct.
  • Any missing supplier has been added or requested.

Steps

  1. Open the concession audit report.
  2. Review the Audit Summary.
  3. Confirm the Audit Time Period.
  4. Locate the revenue or expenditure section that needs action.
  5. Enter the revenue amount for each applicable location or subtenant.
  6. Enter the expenditure amount for each applicable supplier.
  7. Review certified revenue or certified expenditure totals, if shown.
  8. Leave the field blank if you do not have the data yet.
  9. Enter zero only if there was no revenue or expenditure for the reporting period.
  10. Review the amounts you entered.
  11. Save the information, if a save option is available.
  12. Continue to Submit a Concession Audit Report when the report is ready to be finalized.

Reporting Options

Option Use when
Report individually You need to enter revenue or expenditure information one location, subtenant, or supplier at a time.
Bulk reporting You need to complete multiple incomplete records at once.
Report zero There was no revenue or expenditure for the reporting period.
Leave blank You do not have the information yet and need to return later.

Important Reporting Rules

Rule Why it matters
Report amounts for the correct audit period. Revenue and expenditures must match the period being reviewed.
Do not report zero when data is missing. Zero means there was no activity, not that the information is unavailable.
Leave unknown amounts blank. This allows you to return later when the information is available.
Confirm suppliers and subtenants before reporting. Missing or incorrect vendor information can affect the audit.
Review certified totals, if shown. Certified revenue or expenditure totals may affect participation tracking.
Contact the compliance officer if something looks incorrect. The compliance officer can clarify what should be reported before the response is submitted.

Audit Summary The section that summarizes revenue, expenditures, certification information, goals, and participation for the audit period.
Audit Time Period The month, quarter, or other reporting period for the audit.
Revenue Money earned during the reporting period.
Expenditure Money paid to suppliers or other vendors during the reporting period.
Total Revenue Total money earned for the reporting period.
Certified Revenue Revenue connected to certified participation, when applicable.
Total Expenditures Total amount paid during the reporting period.
Certified Expenditures Expenditures paid to certified suppliers, when applicable.
Goal The participation goal assigned to the concession record.
Participation The percentage achieved based on reported information.
Zero Use only when there was no revenue or expenditure to report.
Blank field Use when you do not have the data yet and need to return later.

Summary

Revenue and expenditure reporting should reflect the actual activity for the audit period. Enter known amounts, leave unknown amounts blank, and report zero only when there was no activity. Rental car agreements may require additional expenditure details before the audit is finalized.
