Overview
Keeping your Vendor Profile up to date helps ensure that only the appropriate people have access to B2Gnow.
If someone leaves your organization, changes roles, or no longer needs access, you can deactivate their user account. If that person is connected to records or responsibilities in B2Gnow, you may need to reassign those items to another active user before completing the deactivation.
In most cases, you can complete the deactivation directly in B2Gnow. If additional review is required, your request will be sent to B2Gnow Support for assistance.
Deactivating a user removes that person’s access to B2Gnow. It does not delete your Vendor Profile or remove historical information associated with that user.
Before You Begin
Before you deactivate a user:
- Make sure you are logged in to the correct B2Gnow Vendor Profile.
- Make sure the person receiving any reassigned records is a current employee with an active user account on the Vendor Profile. If a new user needs to be added, see How to Add to A New User to the Vendor Profile before continuing.
- You cannot deactivate your own account. Another authorized user must complete the deactivation for you.
- Agency users cannot deactivate a vendor user through this process. The deactivation must be completed by an authorized user on the Vendor Profile.
Steps
Open the Users List
You can access the Users list in either of these ways:
- From the left navigation, select Settings, then User List.
- From your Dashboard, locate the Configure section, then select List/Add Users.
- On the Users tab, locate the person you want to deactivate.
Start the Deactivation
- Locate the user in the list and select Deactivate.
The Deactivate User page opens and displays the user’s information. If the user has records that must be reassigned, they will appear on this page.
Reassign Records
If the user has records assigned to them, you must transfer those records to another active user before continuing.
- Review the records listed on the page.
- For each required item, use the Reassign To dropdown to select another active user.
- For each required record, use the Reassign To dropdown to select an active user.
As you complete the reassignments:
- Only active users are available for selection.
- All required reassignments must be completed before you can continue.
- The page displays your progress as you work through the required items.
- Continue until all required reassignments are complete and the progress indicator shows that reassignment is finished.
If you are unable to complete a reassignment, use Contact Support for assistance.
Select a Deactivation Reason
- In the User Deactivation section, select a Deactivation Reason.
Common options include:
- User no longer with organization
- Duplicate user account
- Security concern (for example, unauthorized access or compromised account)
- Inactive user – no recent activity
- Project completed or role change
- Other
If you select Other, enter a brief explanation in the text box.
Confirm the Deactivation
- Review the deactivation notice.
- Select the acknowledgment checkbox to confirm that you understand records will be reassigned.
- Select Deactivate.
Note: Changes are saved when you deactivate. If you leave the page before completing deactivation, unsaved reassignment selections are discarded.
What happens next
If the Deactivation is Completed
If no additional review is required:
- The selected records are reassigned.
- The user can no longer sign in to B2Gnow.
- You will receive confirmation that the deactivation is complete.
Communicate these changes with your team. Anyone receiving reassigned records may also receive an email notifying them of the new assignments.
Deactivating the user does not remove their historical information or deactivate your company’s Vendor Profile.
If Support Must Complete
In some cases, additional review may be required before the deactivation can be completed. If this happens, B2Gnow automatically sends the request to Support—you do not need to submit a separate request.
If this occurs:
- Your request is sent to B2Gnow Support.
- The deactivation will display as pending.
- A support ticket number will be provided.
- You can return to the page to check the status and view the support ticket.
B2Gnow Support will contact you if additional information is needed.
Why Can’t I Deactivate a User?
Use this section if Deactivate is missing, disabled, or the page says Support must complete the request.

Tips
- Reassign contact roles carefully so the right people continue to receive notices for contracts, certifications, invoicing, and other topics.
- Tell teammates when you reassign records to them so they know about their new responsibilities.
- If you started deactivation by mistake, select Cancel before completing the process. If you already made reassignment selections, confirm whether you want to leave without saving.
- Keep your Vendor Profile user list current so only active users have access.
- Confirm that reassigned records are transferred to the appropriate person.
Summary
Deactivating users who no longer need access helps you maintain an accurate and secure Vendor Profile. When you deactivate a user, their access to B2Gnow is removed while their historical information remains available. Any records assigned to that user must be transferred to another active user so responsibilities remain with the appropriate person.
Most deactivations can be completed directly in B2Gnow. If additional review is required, B2Gnow Support will assist with completing the request.
