Managing Submitted Certified Hourly Reports in eComply

Objective

After you submit a Certified Hourly Report (CHR), you may need to review it, export a copy, correct errors, or reuse the report for a future week. The CHR Management screen allows you to access previously submitted reports and perform these actions.


Before You Begin

Before managing a submitted CHR, ensure:

  • The CHR has already been submitted

  • You can access the CHR Management screen

  • You have the appropriate permissions to view or modify reports

  • The agency has rejected the report if edits are required

Process

View or Export a Submitted CHR

  1. Navigate to the CHR Management screen.

  2. Open the Project Name and locate the Certified Hourly Report you want to review.

  3. Click Action and View CHR to open the report. The system displays the most recent version of the CHR, even if multiple versions have been submitted.

  1. Click the disc icon to export the report, if needed. The disc icon provides export options so you can save a copy of the CHR for your records.

Modify a Submitted CHR

If you discover an error after submission, the report must first be rejected by the agency.

  1. Contact the Agency and request rejection of the week-ending report.

  2. Return to the report in the CHR Management screen.

  3. Click Action and Modify update the report information. See Submitting Certified Hourly Reports (CHRs)

  1. Click Submit to resubmit the corrected CHR.

Note: If the status is ‘Incomplete’ this means you have not yet resubmitted the updated version of the CHR.

View CHR History

  1. Locate the report in the CHR Management screen.

  2. Click Action and click History.

  1. The History page shows date/time stamps of each action that occurred and remarks, as well as previous versions of CHR’s, if applicable.

Copy a Previous CHR to a New Week

  1. Locate a previously submitted CHR.

  2. Click Copy to New CHR. This will put the employees on the week ending selected copied to the new CHR report with hours etc.

  3. Review the copied employee information.

  4. Update hours as needed.

  5. Submit the new CHR.

Field Definitions

Field Description
Action Menu that allows you to manage a submitted CHR.
View CHR Opens the most recent version of the selected report.
Modify Allows editing of a rejected CHR before resubmitting.
History Displays the record of actions and previous versions of the report.
Copy to New CHR Creates a new report using data from a previously submitted CHR.
Disc Icon Provides export options for downloading the report.

Summary

The CHR Management screen allows you to manage submitted reports by viewing the latest version, exporting reports, reviewing report history, correcting rejected reports, and copying previous reports to create new weekly submissions.
