Signing In and Out in FieldReporter

Overview

This article explains how to sign in and out using FieldReporter to record work activity directly from the job site using Daily Sign-In Logs (DSLs). Signing in and out accurately helps contractors and agencies validate employee work hours during certified payroll review and compliance reporting. Completing this process updates the employee’s daily work record and supports payroll compliance verification.

Before You Begin

Before signing in or out:

  • You must have access to a project with FieldReporter enabled.
  • Your employee profile must already exist in the system unless a site manager adds you as a new employee.
  • You must know the last four digits of your Social Security Number (SSN).
  • If using a shared device, the site manager must already have kiosk mode enabled.
  • You may also be prompted to allow camera or location access on your device.

If your organization’s configuration differs, contact your System Administrator.

Steps

Signing In

  1. Open FieldReporter and select the project where you will be working.
  2. Select Sign In from the project home screen.
  3. Enter the last four digits of your Social Security Number (SSN).
  4. Verify that your name and employee information are displayed correctly.
  5. .Select the appropriate Craft Classification for the work being performed.

  6. Select Take Photo when prompted.
  7. Position your face within the camera frame and ensure your face is clearly visible.
  8. Allow camera access if your browser or device requests permission.
  9. Review the photo after it is captured.
  10. Retake the photo if it is blurry or does not clearly show your face.
  11. Select Confirm and Sign In. Your sign-in is now recorded for the selected project.

After signing in:

  • Your work session becomes active.
  • Your sign-in information is saved to the Daily Sign-In Log (DSL).
  • Your sign-in photo is stored for compliance verification.

Signing Out

  1. Open FieldReporter and select the project where you are currently signed in.
  2. Select Sign Out.
  3. Enter the last four digits of your SSN and verify that your employee information is displayed correctly.
  4. Select Take Photo when prompted.
  5. Position your face within the camera frame and ensure the image is clear.
  6. Review the photo after it is captured. Retake the photo if necessary.
  7. Select Confirm and Sign Out. Your work session is now complete.

After signing out:

  • Your hours become available for supervisor review and approval.
  • Approved logs may be used during certified payroll validation.

Correcting a Missed Sign-Out

If an employee does not sign out at the end of a shift, the previous work entry remains incomplete and the system recognizes that the employee is already signed into the project. When the employee returns to FieldReporter, they may be directed to complete the sign-out process before a new sign-in can be recorded. In some cases, the sign-in record may need to be reviewed or corrected before payroll validation can occur.

A site manager may need to:

  1. Open FieldReporter and Locate the employee's Daily Sign-In Log (DSL).
  2. Correct the sign-in or sign-out information.
  3. Enter a reason for the correction.
  4. Complete verification requirements if prompted.
  5. Resubmit the corrected record for approval.

Troubleshooting / Common Issues

Employee cannot sign in The employee may not exist in the system or may not be assigned to the project.

• Verify the employee exists in the main system. 

• Confirm the employee is assigned to the correct contractor. 

• Verify the employee entered the correct last four digits of their Social Security Number (SSN). 

• Add the employee using Add Employee if the employee record does not exist. 

• If the employee was added through FieldReporter, complete the employee setup in eComply and change the employee status from Draft to Published before including the employee in a Certified Payroll Report (CPR).

Employee Is Redirected to Sign Out Instead of Sign In The employee already has an active sign-in session.

Sign Out and start a new sign-in session if needed.

• Employees cannot have multiple active sessions for the same project at the same time.

Camera access does not work Browser or device camera permissions may be blocked.

• Allow camera access when prompted.

• Refresh the browser.

• Verify the device camera is working.

• Try another browser or device if needed.

Incorrect craft classification was selected The wrong craft classification was selected during sign-in. Sign out and start a new session using the correct craft classification.
Employee Forgot to Sign In Earlier The employee did not complete sign-in at the start of the shift.

• Start the sign-in process normally.

• Update the sign-in time if permitted by your organization.

• Complete the photo verification step.

• Notify the site manager if additional approval is required.

    Note - The new employee added in the FieldReporter application is saved with the "Draft" status in eComply application. The Contractor will need to review and "Publish" the new employee in eComply, so that she/he can be added to a CPR.
